Le Cocon Vacances processes your personal data because you use our services and/or because you provide this data to us yourself. Below is an overview of the personal data we process:

  • First name and surname
  • Gender
  • Address details
  • Telephone number
  • Email address
  • Bank account number

Special and/or sensitive personal data that we process

We do not intend to collect data about website visitors under the age of 16, unless they have parental or guardian consent. However, we cannot verify whether a visitor is over 16. If you believe that we have collected personal data about a minor without parental consent, please contact us at , and we will delete this information.

We do not collect data relating to political views, religious beliefs, medical information or other sensitive personal data.

The purpose and legal basis for processing personal data

Necessity & legal obligation

We collect a large proportion of the personal data we gather because it is necessary for us to provide our services. We also need this data to comply with our legal obligations, particularly under tax law. This includes:

  • First name and surname (we need to know who we are dealing with)
  • Gender (we’d like to address you correctly)
  • Address (we want to be able to contact you)
  • Telephone number (we’d like to be able to ring you if we have any questions or need to speak to you urgently)
  • Email address (we want to keep in touch with you via email regarding our services)

Consent

We also collect personal data because we’d like to send you marketing newsletters. We’ll only do this if you give us your consent. We’ll collect the following:

  • Email address (otherwise we cannot send you emails)
  • Your first name and surname, if applicable, but only if you provide them yourself (we use this to personalise the newsletter)

How long we retain personal data

We do not retain your personal data for longer than is strictly necessary to fulfil the purposes for which your data is collected, or for longer than the statutory retention period. We apply the following retention periods to the following (categories) of personal data:

Automated decision-making

We never make decisions based on automated processing regarding matters that may have (significant) consequences for individuals. This refers to decisions taken by computer programmes or systems without human intervention (for example, by a Le Cocon Vacances employee).

Sharing personal data with third parties

Naturally, we do not sell your data to third parties and will only disclose it if this is necessary for the performance of our contract with you or to comply with a legal obligation. We enter into a data processing agreement with companies that process your data on our behalf (accountant, CRM system, domain registrar, newsletter service, etc.) to ensure the same level of security and confidentiality for your data. Le Cocon Vacances remains responsible for these processing operations.

We use Office 365 and MailChimp to send our emails. Neither of these companies is based within the EU. However, they do comply with the EU-US Privacy Shield (a list of all participants can be found here: https://www.privacyshield.gov/participant_search)

Cookies, or similar technologies, that we use

Le Cocon Vacances uses only technical, functional cookies and anonymised analytical cookies that do not infringe on your privacy.

The cookies we use are essential for the technical functioning of the website and your ease of use. They ensure that the website works properly and, for example, remember your preferences. They also enable us to optimise our website. You can opt out of cookies by configuring your web browser so that it no longer stores cookies. In addition, you can also delete any information previously stored via your browser settings.

Viewing, amending or deleting data

You have the right to view, correct or delete your personal data. You also have the right to withdraw any consent you may have given for data processing or to object to the processing of your personal data by Le Cocon Vacances, and you have the right to data portability. This means that you can submit a request to us to send the personal data we hold about you in a computer file to you or to another organisation specified by you.

Submitting a request

You can send a request to access, correct, delete or transfer your personal data, or a request to withdraw your consent or object to the processing of your personal data, to .

To ensure that the request for access has been made by you, we ask you to include a copy of your ID with the request. In this copy, please black out your passport photo, the MRZ (machine-readable zone, the strip of numbers at the bottom of the passport), your passport number and your Citizen Service Number (BSN). This is to protect your privacy.

We will respond to your request as soon as possible, but within four weeks.

Submitting a complaint

If you have a complaint about how we handle your data, you can submit it to the national supervisory authority, the Dutch Data Protection Authority. You can do this via the following link: Dutch Data Protection Authority.

How we protect personal data

Le Cocon Vacances takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unauthorised disclosure and unauthorised alteration. These measures include password protection, encrypted transmission, virus scanners and firewalls.
